An opening balance can make a supplier account look ready for ongoing bookkeeping while hiding uncertainty about how that figure was established. It may represent several unpaid documents, a balance carried from an earlier system or a position that has changed since the source information was prepared.
An opening-balance review gives the figure a traceable basis. It connects the balance to the available supporting records, separates known components from unresolved differences and avoids treating an imported number as self-explanatory.
Define the opening date and account
Start with the supplier identity and the exact point at which the opening balance applies. Confirm that the supporting records being reviewed relate to the same boundary.
This prevents later transactions from being mixed into the opening position.
Identify the source of the balance
Record whether the figure came from an earlier ledger, transition schedule, supplier statement or another approved source available to the team. Preserve enough reference information for the balance to be traced back.
Do not describe a figure as verified merely because it was imported successfully.
Break the balance into supported components where possible
Where the source records allow it, identify the invoices, credits, payments or other items that make up the balance. This gives the team a more useful basis for later matching and supplier queries.
If the balance cannot be fully decomposed, keep that limitation visible rather than inventing detail.
Compare with supplier-side evidence carefully
A supplier statement can help test the opening position, provided the date and account scope are comparable. Investigate differences item by item rather than changing the opening figure solely to match a statement total.
Timing, missing documents and unapplied activity can all produce legitimate differences requiring separate review.
Protect the boundary from duplicate entry
Check that transactions included in the opening balance have not also been entered individually after the opening date through an import or manual process. A duplicate can arise when transition records and new processing overlap.
Use the firm's duplicate-review controls before removing any suspected repeated entry.
Record unresolved opening differences
If the evidence does not fully support the balance, document the gap, what has already been checked and the next action required. Keep the issue visible to anyone relying on the supplier account.
Do not use an unsupported balancing adjustment simply to close the review.
Close only when the working position is clear
Confirm that the opening balance has a traceable source and that unresolved components are separately recorded with ownership. Subsequent bookkeeping should be able to distinguish the established opening position from later account activity.
A supplier opening-balance review helps bookkeeping teams start from evidence rather than an unexplained brought-forward number. It makes transition gaps visible and reduces the risk of duplicate or missing activity around the account boundary.
